Minutes from 12/13/2017 Advisory Committee Meeting

The meeting was called to order at 6:30 p.m.


Ms. Deacon presented the financial summary and proposed budget for 2018. Last year’s budget projected a shortfall of $4,237.62. However, as of December 12, 2017 there is a budget surplus of $1,523.00. Her report also includes expense and revenue analyses month by month.

Ms. Deacon stated that we raised over $16,000 in the last three months which helped make up for previous shortfall in donations. November’s grant for the Summer Games also helped beat the budgeted shortfall. We also received a $1,300 specific donation for athlete shirts.

After discussion, the proposed 2018 annual budget was $36,000.


Ms. Franklin Kearns reported the following:

  1. Social media is going well.
  2. Facebook is the strongest with 647 likes. Clyde’s athlete profile reached 2,400 people, generated 107 likes and many comments. She recommended posting more athlete profiles.
  3. Twitter is growing slowly.
  4. Instagram is running.
  5. She recommended that we ask the basketball and cheer coaches for more pictures and content.

    Ms. Deacon moved that Ms. Larosa be appointed to the Advisory Committee. Mr. McLoughlin seconded. Motion was unanimously carried.


    Basketball and cheer are currently in session.

    Ms. Larosa is working on encouraging Olentangy high school athletes to volunteer to work with Special Olympics athletes. For example, a swim session that combines both sets of athletes. Also, softball team may be able to help with softball throw in track and field.

    Upcoming sports are volleyball and track and field. Those seasons are April through June. Facility set up for these sports must start in January. Volleyball is on Mondays from 6 to 7:30 p.m. Track and field team meets for 1.5 hours twice a week, has three meets and the Summer Games.


    Ms. Hollingsworth reported on the Entertainment Book sales. All participating athletes received prizes.

    No Eagles bingo in 2018 as it is already fully booked. This was a lucrative fundraiser in 2017. However, the Eagles may be interested in making donations for specific needs, such as pop-up tents.

    A discussion regarding potential fundraisers for 2018 was held. The proposed fundraising scheduled is attached.
